HR Assistant

We are currently looking for HR Assistant with 2 years of experience to be part of our HR operations in Dubai, UAE

Key responsibilities

  • Manage the preparation of all staff documentation
  • Draft employment certificates, contracts, and various employment-related letters
  • Manage the onboarding processes for new hires
  • Conduct HR induction sessions for newly hired employees
  • Conduct preliminary screening of applicants for open positions
  • Coordinate interviews for potential candidates
  • Keep all employee files and data systematically organized
  • Update employee information as required
  • Responsible for registrations, terminations, and changes related to employee information in the software system
  • Process visas and handle other employee transactions
  • Prepare monthly HR reports as required by the HR Manager
  • Keep all employee files and data systematically and update the information as necessary
  • Administer benefits programs, including medical and life insurance enrolment
  • Assist in the planning and implementation of engagement initiatives
  • Own administrative work for operations related to onboarding and off-boarding employees
  • Onboarding new employees, assisting, and conducting new hire orientation
  • Assist with day-to-day HR Operations & ensure that all employee records are up to date
  • Own admin work for operations regarding onboarding & off-boarding employees
  • Implement HR policies throughout the organization
  • Ensure compliance with changes in labor legislation
  • Process employees’ queries and respond in a timely manner
  • Stay up-to-date and comply with changes in labor legislation
  • Keep a clean and updated Annual Leave Summary for all employees. and ensure employees are satisfied in their work environment
  • Monitor the learning functions within the department
  • Update employee records with new hire information and/or changes in employment status
  • Create, Maintain, and support HR Calendar activities

Qualifications

  • Bachelor’s Degree in HR Management, Business Administration, or related field
  • Very strong proficiency in MS Word, Excel, and PowerPoint is required

Skills

  • Minimum 2 years progressive experience in the Human Resources function
  • Great attention to detail
  • Ability to work in high paced environment
  • Diplomatic and strong acumen in establishing positive working relationships with employees and all other stakeholders to maximize cooperation and productivity
  • Strong organisational, project management, and administrative skills required
  • Proven sense of professional discretion, integrity, and ability to manage situations diplomatically and to effective resolution
  • Background in Payroll will be a plus
  • Good grasp of Middle East Labour Laws
  • Excellent communication skills – can facilitate meetings, conduct trainings, and draft policies/contracts
  • Fluency in written and spoken in English is required
  • Great problem-solving abilities
  • Strong communicator with a pleasant personality
